Send a purchase order
Last updated: November 2, 2026
Email a purchase order to your vendor, or copy the link to the purchase order’s web page. You can send a purchase order only after it’s saved.
Email a purchase order
-
Open the saved purchase order.
-
Select Send PO.
The Send email panel opens.
-
Choose who receives the email:
- Under Vendor emails, select the addresses to send to. The vendor’s primary email is marked.
- To send to an address that isn’t saved for the vendor, select Send to a different email address and enter one address. To save it to the vendor’s profile, turn on Save to vendor profile.
- To get a copy yourself, select Send me a copy. Your copy is sent as a blind copy (BCC), so other recipients don’t see you on the email.
-
Under Purchase-order email settings, choose what to include in the email. At least one option must be on.
- PDF attachment: Attaches the purchase order PDF, along with any files on the purchase order’s Attachments tab.
- Link to web view: Includes a link to the purchase order’s web page.
-
Select Send email.
Copy the web link
-
Open the saved purchase order.
-
Select the arrow next to Send PO, then select Copy web link.
The link to the purchase order’s web page is copied to your clipboard.
What your vendor can do
On the purchase order’s web page, your vendor can approve or decline the purchase order, print it, or download it as a PDF. If Require signature is on for the purchase order, your vendor signs it when they approve it. For details, see How do vendors approve a purchase order?
What happens after you send
When you email a Draft purchase order or copy its web link, its status changes to Pending. Sending a purchase order or copying its web link doesn’t change any other status.
If you send the email only to yourself, the status doesn’t change and the purchase order isn’t marked Emailed.
Once the purchase order is emailed, Emailed appears next to its status. Hold your pointer over Emailed to see when the purchase order was first emailed.
Send a purchase order again
Editing a purchase order doesn’t notify your vendor, but once saved, your changes appear on its web link right away. To notify your vendor of the changes, send the purchase order again.
If editing the purchase order removes your vendor’s signature, send it again so they know they need to approve it again.
