Purchase Order settings

Last updated: November 3, 2026

Purchase Order settings control what your vendor sees on a purchase order’s PDF and web link, and the settings new purchase orders start with. Set company-wide defaults in Company settings, or customize vendor view and PDF settings on individual purchase orders.

Default settings for new purchase orders

Your company’s defaults are in Company settings > Purchase Orders > General. New purchase orders start with these settings. Changing a default doesn’t change existing purchase orders.

Setting What it sets
Vendor view settings Which details your vendor sees. See Vendor view settings.
PDF Settings Whether the PDF is attached to purchase order emails by default, and whether the PDF includes a link to view the purchase order online. See PDF settings.
Signature settings Whether new purchase orders require your vendor’s signature.
Purchase Order public note The public note new purchase orders start with.
Purchase Order terms & conditions The terms and conditions new purchase orders start with.

Note: When you copy a purchase order, the copy keeps the original purchase order’s vendor view settings rather than using your company’s defaults.

Change the defaults

  1. Go to Company settings > Purchase Orders > General.
  2. Change the settings you want.
  3. Select Update.

Vendor view settings

Vendor view settings control which details appear on the purchase order’s PDF and web link. You can set each detail to Visible or Hidden.

  • Item details: Price, Quantity, Quantity type, Amount, SKU, and Item code for each line item.
  • My company info: Company address, Company email, and Company phone.
  • Job info: Job address, Customer name, and Customer phone.

PDF settings

  • Attach PDF to email: Controls whether PDF attachment is turned on by default in the Send email panel. When that option is on, the email includes the purchase order PDF and the files on the purchase order’s Attachments tab. You can change the option before sending.
  • Display ‘view online’ banner: Adds a banner near the top of the PDF with a button, the purchase order’s web link, and a QR code. The button, link, and QR code all open the purchase order’s web link.

Change the settings on one purchase order

  1. Open the purchase order.

  2. Select the settings icon (gear) on the right of the purchase order.

  3. Under Vendor view settings and PDF Settings, change the settings you want.

  4. Select Save changes. On a new purchase order, select Save Purchase Order.

The changes apply only to this purchase order.

You can change these settings on a purchase order in any status. If you’ve already sent the purchase order, changes to vendor view settings also apply to its existing web link and to PDFs downloaded afterward. Changing these settings on a signed purchase order doesn’t remove the signature.

The settings sidebar also has the purchase order’s signature and tax settings.
