Invoice settings

Last updated: October 30, 2026

Invoice settings control what your customer sees on an invoice’s PDF and web link, and the settings new invoices start with. Set company-wide defaults in Company settings, or customize customer view and PDF settings on individual invoices.

Default settings for new invoices

Your company’s defaults are in Company settings > Invoices > General. New invoices start with these settings. Changing a default doesn’t change existing invoices.

Setting What it sets
Invoice due When new invoices are due: on receipt, or a number of days after the invoice date. For details, see Invoice due dates.
Customer view settings Which details your customer sees. See Customer view settings.
Payment settings Online payment settings. For details, see Invoice payment settings.
PDF Settings Whether the PDF is attached to invoice emails by default, and whether the PDF includes a link to view the invoice online. See PDF settings.
Signature settings Whether new invoices require your customer’s signature. For details, see How do customers sign an invoice?
Invoice public note The public note new invoices start with.
Invoice terms & conditions The terms and conditions new invoices start with.

Note: When you copy an invoice, the copy keeps the original invoice’s customer view settings rather than using your company’s defaults.

Change the defaults

  1. Go to Company settings > Invoices > General.
  2. Change the settings you want.
  3. Select Update.

Customer view settings

Customer view settings control which details appear on the invoice’s PDF and web link. You can set each detail to Visible or Hidden.

  • Item details: Price, Quantity, Quantity type, Amount, Taxable label, SKU, and Item code for each line item. On an invoice, this group is called Line item details.
  • My company info: Company address, Company email, and Company phone.
  • Job info: Job ID, Job address, and Salesperson.

PDF settings

  • Attach PDF to email: Controls whether PDF attachment is turned on by default in the Send email panel. When that option is on, the email includes the invoice PDF and the files on the invoice’s Attachments tab. You can change the option before sending.
  • Display ‘view online’ banner: Adds a banner near the top of the PDF with a button, the invoice’s web link, and a QR code. The button, link, and QR code all open the invoice’s web link.

Change the settings on one invoice

  1. Open the invoice.

  2. Select the settings icon (gear) on the right of the invoice.

  3. Under Customer view settings and PDF Settings, change the settings you want.

  4. Select Save changes. On a new invoice, select Save invoice.

The changes apply only to this invoice.

You can change these settings on an invoice in any status. If you’ve already sent the invoice, changes to customer view settings also apply to its existing web link and to PDFs downloaded afterward.

The settings sidebar also has the invoice’s signature, payment, and tax settings. For details, see How do customers sign an invoice?, Invoice payment settings, and Taxable line items on invoices.

Reminders and email templates

Under Company settings > Invoices, you can also manage invoice reminders and email templates.
