Record a payment on an invoice
Last updated: October 30, 2026
When your customer pays you outside Cinderblock, for example by cash, check, or wire, record the payment on the invoice. Payments your customer makes online are added to the invoice automatically. Recording a payment updates the invoice’s status.
You can record a payment only after the invoice is saved.
Record a payment
-
Open the invoice.
-
In the Payments section, select Add payment.
-
Enter the Payment date. Today’s date is filled in.
-
Enter the Payment Amount, or select Apply to enter the remaining balance.
The amount can’t be more than the remaining balance.
-
Optional: choose a Payment method (ACH, Cash, Check, Credit Card, Wire, or Other), and enter a Reference and a Note.
-
Select Save.
-
Choose whether to email your customer a payment receipt: select Send email or Don’t send.
Record each payment separately. An invoice can have several payments. When an invoice is Paid, Add payment isn’t available.
Record a payment from the status menu
You can also select Paid or Partially paid from the status menu at the top right of Invoice details. You’re prompted to add a payment. The invoice’s status follows the amount you record, not the option you selected.
What happens after you record a payment
- The invoice’s status changes to Partially paid while a balance remains and to Paid when the balance is paid in full. For more about statuses, see Invoice statuses.
- The payment appears in the Payments section with the Received label, along with the invoice’s amount paid and amount due.
- Your customer isn’t notified unless you send them a receipt.
- If you use QuickBooks with Cinderblock, payments sync with QuickBooks.
Note: An invoice can become overpaid if you later reduce its total below the amount already paid. For more, see Create and edit an invoice.
Online payments
When your customer pays on the invoice’s web link, the payment is added to the Payments section automatically, with its date and time and its transaction ID. The invoice’s status updates the same way it does for a payment you record. For what your customer sees, see How do customers pay an invoice?
Edit, void, or delete a payment you recorded
To change a payment you recorded manually, select its menu (⋯) in the Payments section, then choose an option:
- Edit payment: Change the payment’s details.
- Void payment: Keep the payment on the invoice, marked Voided. A voided payment no longer counts toward the amount paid. Voiding a payment doesn’t return money to your customer. If you’ve refunded a payment outside Cinderblock, you can void its record to update the invoice balance.
- Download receipt or Email payment receipt: Download the payment receipt or email it to your customer.
- Delete: Remove the payment from the invoice.
When you edit, void, or delete a payment, the invoice’s status updates to match what’s been paid. If nothing remains paid, the invoice returns to Open.
Refund an online payment
To refund a payment your customer made online, select the payment’s menu (⋯) in the Payments section, then select Refund. The refund is processed through your payment provider, Stripe or Sola.
Important: Online payments can’t be deleted, even after a refund. A refunded payment stays on the invoice for your records, and the invoice’s status updates to match what’s been paid. Because the payment stays, the invoice can’t be deleted, but you can cancel it. For more, see Cancel or delete an invoice.
