Estimate statuses
Last updated: October 28, 2026
Every estimate has a status that shows whether it’s been sent, accepted, declined, canceled, or invoiced. Some statuses change automatically when you send or invoice an estimate, or when your customer responds. You can also change most statuses yourself.
What each status means
| Status | What it means | How it’s set |
|---|---|---|
| Draft | Your customer can’t view the estimate. Its web link is unavailable. | Saving a new estimate, or manually. |
| Pending | The estimate is awaiting your customer’s response. | Emailing a Draft estimate or copying its web link, or manually. |
| Accepted | The estimate is marked as accepted, by your customer or by your team. | Your customer selects Accept on the web link, or manually. |
| Partially converted | Part of the estimate has been invoiced. | Creating an invoice for part of the estimate. |
| Converted | The full estimate has been invoiced. | Creating an invoice for the full estimate. |
| Declined | The estimate is marked as declined, by your customer or by your team. | Your customer selects Decline on the web link, or manually. |
| Canceled | The estimate is no longer active. | Manually. |
What your customer sees
The estimate’s web link shows your customer where the estimate stands.
- Pending: The estimate shows Accept and Decline.
- Accepted, Partially converted, and Converted: The estimate is marked Accepted.
- Declined or Canceled: The estimate is marked with its status.
- Draft: The web link is unavailable.
Your customer can accept or decline only a Pending estimate that hasn’t expired.
Expired estimates
An estimate past its expiration date stays Pending. Expired isn’t a status. On the web link, the estimate is marked Expired, and your customer can’t accept or decline it.
To give your customer more time, change the estimate’s expiration date to a later day. Accept and Decline return on the web link your customer already has, so you don’t need to send the estimate again.
To find expired estimates, use the Expired card or the Expiration filter in the Estimates list.
Change an estimate’s status
-
Open the estimate.
-
In Estimate details, select the status at the top right.
-
Choose the new status.
The status changes right away. You don’t need to select Save changes.
If the estimate is Accepted and you choose Draft, Pending, Declined, or Canceled, confirm the change when asked.
Choosing Partially converted or Converted starts the same steps as Create invoice. The status changes when you create the invoice.
Partially converted and converted estimates
You can’t manually change the status of a Partially converted or Converted estimate while it has linked invoices. Deleting or canceling those invoices changes the status automatically.
Important: When no linked invoice remains, the estimate returns to its previous status. If it was never Accepted, it returns to Pending.
Editing an accepted estimate
Important: Editing an Accepted estimate changes its status to Pending and removes your customer’s signature, if there is one. A warning appears before you save. Editing doesn’t change any other status.
