Estimate expiration
Last updated: October 29, 2026
An estimate’s expiration date is the last day your customer can accept or decline it from its web link. You can set a default for new estimates, change the date on any estimate, or leave it blank so the estimate never expires.
When an estimate expires
Your customer can accept or decline an estimate through the end of its expiration date. The estimate expires when your company’s date changes to the next day. For example, an estimate with an expiration date of November 18 expires once it’s November 19 for your company.
Your company’s time zone is based on your company address.
What happens when an estimate expires
An expired estimate stays Pending. Expired isn’t a status. On the web link, the estimate is marked Expired, and your customer can’t accept or decline it. You can still change its status yourself. For details, see Estimate statuses.
To find expired estimates, use the Expired card or the Expiration filter in the Estimates list.
Give your customer more time
Change the estimate’s Expiration date on the Details tab to a later day, and save your changes. Accept and Decline return on the web link your customer already has.
Changing the date doesn’t notify your customer. To let them know, send the estimate after you change the date. Sending an expired estimate without changing its date doesn’t reopen it.
Estimates without an expiration date
Expiration date is optional. If you leave it blank, the estimate never expires, and no expiration date appears on the PDF or web link.
Set the default expiration date
New estimates get an expiration date a set number of days after the estimate date.
- Go to Company settings > Estimates > General.
- In Expiration date, enter the number of days. To give new estimates no expiration date, leave it blank.
- Select Update.
Changing the default doesn’t change the expiration date of existing estimates.
What your customer sees
The expiration date appears on the PDF and web link of Pending, Declined, and Canceled estimates. It doesn’t appear once an estimate is Accepted, Partially converted, or Converted.
Expiration reminders
You can set reminders based on the expiration date for your salesperson and your customer.
