How do customers accept an estimate?

Last updated: October 30, 2026

Customers can accept an estimate by electronically signing it through its web link. They don’t need to sign in to Cinderblock. A signature is required to accept.

How your customer accepts

  1. Your customer opens the estimate’s web link, from the estimate email, a link you shared, or the estimate PDF.
  2. They select Accept.
  3. They enter their Full name and Email. If the customer’s profile has a primary email, Email is filled in.
  4. They select the checkbox to confirm they’re authorized to accept the estimate and agree that their electronic signature is legally binding.
  5. They select Sign & Accept, then Done.

The estimate changes to Accepted. Its web link and PDF show the customer’s signature, name, and the date and time they signed, in your company’s time zone.

If Display ‘view online’ banner is on, the estimate PDF includes a button, the estimate’s web link, and a QR code. The button is Accept estimate while your customer can still respond, and View estimate otherwise. Each one opens the estimate’s web link. Selecting Accept estimate in the PDF doesn’t accept the estimate by itself.

To turn the banner on or off, see Estimate settings.

How your customer declines

Your customer selects Decline on the web link, then Decline again to confirm. No signature or reason is needed. The estimate changes to Declined.

If your customer changes their mind, you can change the estimate’s status back to Pending. The Accept and Decline buttons reappear on the web link.

When your customer can accept

Accept and Decline appear on a Draft or Pending estimate that hasn’t expired.

A Draft estimate hasn’t been sent, but if your customer already has its web link, for example from a PDF you downloaded and shared, they can accept or decline it.

  • Expired: The web link shows Expired, and your customer can’t accept or decline. To reopen it, move the expiration date to a later day. You don’t need to send it again.
  • Accepted, Partially converted, or Converted: The web link shows Accepted, with no buttons.
  • Declined or Canceled: The web link shows that status, with no buttons.

What you see when your customer responds

  • The estimate’s status changes to Accepted or Declined.
  • A signed estimate shows a Signed badge next to its status. Hover over it to see when the estimate was signed and by whom.
  • You can receive email, in-app, and push notifications when your customer responds, depending on your notification preferences. Push notifications require in-app notifications to be on.

Accepting an estimate doesn’t create an invoice.

Mark an estimate as accepted yourself

If your customer accepts outside Cinderblock, you can select the status badge at the top right of Estimate details and choose Accepted. This doesn’t add a customer signature.

Edit an accepted estimate

Important: On an Accepted estimate, saving changes to line items, Public note, Terms & Conditions, attachments, tax settings, discount, or cost plus removes the customer’s signature and changes the status back to Pending. Your customer must accept and sign the updated estimate again. Editing doesn’t notify your customer, so send the estimate again to let them know.

Changes to Salesperson, PO number, Customer reference, the linked job, or a line’s Cost don’t affect the signature or status.
