Estimate settings

Last updated: October 30, 2026

Estimate settings control what your customer sees on an estimate’s PDF and web link, and what new estimates start with. Set defaults for new estimates in Company settings. You can also customize individual estimates.

Default settings for new estimates

Your company’s defaults are in Company settings > Estimates > General. New estimates start with these settings. Changing a default doesn’t change existing estimates.

Setting What it sets
Expiration date How many days after the estimate date new estimates expire. For details, see Estimate expiration.
Customer view settings Which details your customer sees. See Customer view settings.
PDF Settings Whether the PDF is attached to estimate emails by default, and whether the PDF includes a link to view the estimate online. See PDF settings.
Estimate public note The public note new estimates start with.
Estimate terms & conditions The terms and conditions new estimates start with.

Note: When you copy an estimate, the copy keeps the original estimate’s customer view settings rather than using your company’s defaults.

Change the defaults

  1. Go to Company settings > Estimates.
  2. On the General tab, change the settings you want.
  3. Select Update.

Customer view settings

Customer view settings control which details appear on the estimate’s PDF and web link. Set each one to Visible or Hidden.

  • Item details: Price, Quantity, Quantity type, Amount, Taxable label, SKU, and Item code for each line item. On an estimate, this group is called Line item details.
  • My company info: Company address, Company email, and Company phone.
  • Job info: Job ID, Job address, and Salesperson.

PDF settings

  • Attach PDF to email: Controls whether PDF attachment is turned on by default in the Send email panel. When that option is on, the email includes the estimate PDF and the files on the estimate’s Attachments tab. You can change the option before sending.
  • Display ‘view online’ banner: Adds a banner near the top of the PDF with a button, the estimate’s web link, and a QR code. The button, link, and QR code all open the estimate’s web link.

Change the settings on one estimate

  1. Open the estimate.

  2. Select the settings icon (gear) on the right of the estimate.

  3. Under Customer view settings and PDF Settings, change the settings you want.

  4. Select Save changes. On a new estimate, select Save estimate.

The changes apply only to this estimate.

You can change these settings on any estimate, including Converted and Partially converted estimates. If you’ve already sent the estimate, changes to customer view settings also apply to its existing web link and to PDFs downloaded afterward.

The settings sidebar also has the estimate’s tax settings. For details, see Taxable line items on estimates.

Reminders and email templates

Under Company settings > Estimates, you can also manage estimate expiration reminders and email templates.
