How to use the task list template

  1. Choose space for the jobsite list

Set the task-row count and keep the assignment and note fields you need. Print a blank copy for the crew lead.

  2. Write tasks in a useful sequence

Identify the job in the note area. Put one observable action on each row and name an owner in the task text when responsibility varies.

  3. Review the open work together

Check items only when the stated work is finished. Record blocked items, and give the crew a current copy when the scope changes.

Turn the assigned work into checkable actions

A jobsite task list makes remaining work visible. Write the job reference and location in the note area so a loose sheet can be matched to the right project. Keep the work order nearby for the broader assignment and instructions.

Put preparation before the work it enables

Write one action per row, in the order the crew expects to do it. A list that puts touch-up work ahead of checking the installed items is harder to follow. Discuss the sequence with the crew lead when one trade depends on another.

Make completion observable. “Finish room” could mean several things. “Remove protective floor covering after touch-ups are complete” has a clearer finish point. This is a way to organize the record, not a replacement for trade-specific work or safety instructions.

Say who owns each item

Use the Assigned to field for the person or crew responsible for the whole list. When owners differ, write the name at the start of each task, such as “Alex: fit the remaining door stops.” The blank form doesn’t have separate per-task assignment fields.

Write the planned list due date and any priority that helps the crew decide what to address first. These paper details don’t send notifications or automatically assign employee accounts.

Example: a finish-work walk-through

In this fictional remodel, the crew lead writes the job reference in the note area and assigns the list to the Example finish crew. The rows read:

  1. Alex: fit the remaining hall door stops.
  2. Casey: check cabinet handles against the agreed locations.
  3. Casey: complete the identified paint touch-ups after the hardware check.
  4. Alex: remove protective coverings once touch-ups are finished.
  5. Crew lead: walk the open items with the customer and record anything remaining.

If a handle hasn’t arrived, leave that item unchecked and add “Waiting for handle; follow up with supplier” in the notes. Don’t check the whole item because its other handles are fitted. The list shows a specific next action without pretending all work is complete.

Keep the current copy on site

Agree what a checked box means before the crew starts. Review open items during the walk-through, and keep partially finished work open or split it into smaller actions. Record who will resolve a blocked item and when you plan to check it again.

When the scope changes, date the revised paper copy and tell the crew which version to use. Collect or clearly mark earlier copies so an old priority doesn’t send someone back to finished work. Photograph the current list for the office if it needs a progress update.

A checked box doesn’t record employee hours. Keep labor time on a timesheet and use the checklist to describe task completion.

Choose paper or a completed digital list

The template creates blank rows and checkboxes with your chosen company details and visible sections. You write the tasks and mark their status on paper.

The task list generator lets you type task names and set completion status before printing. A shared PDF is still a copy at that moment, so confirm later changes with the crew.

Keep tasks connected when the work changes

A paper checklist gives the crew a visible record of the day’s work. Copies need updating when priorities or assignments change.

Cinderblock supports tasks and subtasks with assignments and due dates. Tasks stay with the job alongside schedules, notes, and files.
