What is a contractor estimate template?

A contractor estimate template gives you a ready-made structure for presenting the expected cost of a project. Contractors and service businesses can use the same layout for each job, with space for customer information, materials, labor, and the estimated total.

This free estimate template is a blank printable form. Customize the business details and layout online, then print it and fill in the job information by hand. You can save the blank contractor estimate as a PDF for later printing.

How to fill out a paper estimate on site

A printed estimate usually gets filled out at the job, on a tailgate or at the customer’s kitchen table. Use this checklist so nothing is missing when you hand it over.

Before you leave for the job

  • Write the estimate number and today’s date on each form.
  • Bring a spare form, or plan to photograph the completed one for your records.

At the job

  • Write the customer’s name, phone, and email, plus the job address if it’s different from their home.
  • Walk the job with the customer and write each task on its own line.
  • List materials separately from labor. For a fence repair, put cedar boards on one line and the hours to remove and replace them on another. Customers accept a total more easily when they can see what’s behind it.
  • Write down what’s not included, such as permits, haul-away, or repairs you might uncover.

Before you hand it over

  • Add up the line items twice. A paper form doesn’t calculate for you.
  • Write tax and any discount on their own lines above the total.
  • Add an expiration date so the customer knows how long the price holds.
  • If you included the signature line, have the customer sign it before you leave.
  • Keep a copy. Photograph it or keep the duplicate.

Follow up before the expiration date to answer any questions about the scope or pricing.

Estimate template vs. estimate generator

Choose the template when you want a consistent paper form you can fill out at a job or keep ready for your next customer. You can adjust its layout and company information online, but the customer and pricing fields remain blank until you fill out the printed form.

If you want an editable estimate you can complete online, use the free contractor estimate generator. It calculates totals, supports internal cost and profit calculations, and lets you reuse items. Those internal figures stay off the customer-facing document.
