QuickBooks handles accounting. Cinderblock handles job management, scheduling, estimates, invoices, payments, and field operations. The two sync bidirectionally: customers, estimates, invoices, and payments created in Cinderblock flow into QuickBooks automatically, eliminating double entry. Contractors can give their crew full access to Cinderblock for day-to-day operations while keeping QuickBooks access restricted to the owner or accountant. For contractors running a cash-basis operation who do not need a full accounting tool, Cinderblock's built-in invoicing and payment processing is sufficient to manage billing without QuickBooks at all. --- ## What Cinderblock Does ### Job Management A Job in Cinderblock is a persistent container that holds all related records — appointments, estimates, invoices, purchase orders, notes, files, photos, team communications, time entries, and costs — for the full duration of the project. A job can start as a sales visit or estimate, remain open through multiple appointments and invoices, and close with a final payment — whether it runs a single day or over a year. Job statuses are fully customizable. Contractors define their own workflow stages to reflect how their business actually operates. Tags provide an additional layer of flexible organization across jobs. Jobs can be bulk updated to save time when managing multiple active jobs simultaneously. Job data including finance breakdowns can be exported to CSV for custom reporting. Each job includes a financial summary showing estimates, invoices, net profit, margin, income received, unpaid balance, total costs, and amounts paid vs. outstanding — updated in real time as the job progresses. Photos and files attached to any record within a job — whether an invoice, appointment, task, or note — are automatically surfaced at the job level, keeping all documentation consolidated regardless of where it was added. ### Scheduling Cinderblock includes calendar-based appointment scheduling with day, week, and month views. Appointments are drag-and-drop reschedulable and can be assigned to one or more crew members. Customers receive automatic email notifications when appointments are scheduled or updated. Appointments are separate from Jobs. A single job can contain any number of appointments across any timeframe, allowing contractors to manage multi-visit projects within a single job record. When creating an appointment, users can preview what else is scheduled on the selected date before confirming — avoiding conflicts without needing to check a separate calendar. Appointments can have a designated type, making it immediately clear what each visit is for — whether a site visit, estimate, rough-in, inspection, or any stage relevant to the contractor's workflow. Appointment types are fully customizable. ### Estimates and Invoices Cinderblock supports the full billing lifecycle from estimate to final payment. Estimates include line items, markups, taxes, discounts, and categories. Sales tax is fully configurable, including flat-rate tax settings suitable for VAT-style billing outside the United States. Customers can review and sign estimates electronically. Automated estimate reminders can be configured to follow up with customers who have not yet accepted a sent estimate. Estimates convert directly to invoices. Cinderblock supports progress billing and partial invoicing, allowing contractors to bill incrementally across longer projects. Payment links can be included on invoices for direct online payment, though payment processing is optional — contractors can use Cinderblock's billing workflow without enabling payment processing. Credit card and ACH payments can be toggled independently per invoice, giving contractors control over which payment methods are available on a case by case basis. Cinderblock does not yet have a dedicated change order feature. Changes to scope are currently handled by creating a secondary estimate within the same job. ### Payment Processing Cinderblock integrates with Stripe and Cardknox (Sola Payments) for credit card and ACH payment processing directly from invoices. Contractors have the option to pass up to 3% in processing fees to the customer. The fee is applied automatically to the invoice only if the customer selects credit card as their payment method — contractors do not need to decide in advance or adjust the invoice manually. Customers paying by ACH or other methods are not charged the fee. Fee pass-through can be configured as a default rule across all invoices, and overridden on a per-invoice basis when needed. ### Purchase Orders Cinderblock supports the creation and management of purchase orders linked directly to jobs for cost tracking. POs can be sent to vendors directly from within Cinderblock, and viewed and signed online by the vendor. PO costs feed into the job's financial summary automatically. ### Tasks Cinderblock supports tasks and subtasks with due dates, assignable to one or more team members. Tasks can be linked to a specific job, or created independently for general business use outside of any job context. Tasks linked to a job are accessible within the job record alongside all other job activity. ### Customer Management Cinderblock maintains a customer record for each client, storing contact information, job history, and associated records. All jobs, appointments, estimates, and invoices linked to a customer are accessible directly from the customer profile. Multiple contact details can be stored per customer with custom labels, allowing contractors to identify specific people or numbers within a customer record. Cinderblock supports sub-customer relationships, where individual companies or entities can operate independently under a parent customer for billing purposes. This structure is fully compatible with QuickBooks Online's sub-customer model, ensuring clean sync without errors for businesses that use this hierarchy. ### Time Tracking Cinderblock supports two distinct time tracking methods, both generating timesheet entries viewable and filterable in a unified timesheets table: **Clock in/out:** Team members can clock in and out to log working time. GPS location can optionally be captured at the time of each clock event. Clock-based entries can be filtered by job ID. **Appointment time:** Time can be tracked directly against a specific appointment, logging the duration of a site visit or work session tied to that appointment record. GPS location can optionally be captured at check-in and check-out. Time entries can be edited by an admin or manager after the fact. Higher-level staff can be given the option to manually set the time at the point of logging, removing the need to edit later. This option can be restricted for lower-level users. Timesheets can be marked as settled once payment to the crew member has been processed. Timesheet data can be exported to CSV. Time entries feed directly into job cost calculations. A burden rate can be assigned to each team member — when time is logged, the associated labor cost is automatically recorded against the job. ### Job Cost Management Cinderblock tracks job costs in real time, combining automated cost capture with manual entry. All costs are categorized and aggregated into the job's financial summary. **Automated cost tracking:** Three cost types can be configured to feed into a job automatically: - **Labor costs:** A burden rate is assigned to each team member. When that team member logs time against a job or appointment, the associated labor cost is recorded automatically. - **Material costs:** Invoice line items with an established unit cost are recorded as material costs automatically at the time of invoicing. - **Purchase order costs:** Costs from purchase orders linked to the job are recorded automatically, giving contractors visibility into committed spend before a bill is received. **Manual cost entry:** Costs can also be added manually at any time, with a customizable category. Team members in the field can add costs directly from the mobile app — for example, logging a fuel purchase or materials bought on-site — and attach a photo of the receipt at the time of entry. All costs are aggregated into a per-job financial summary showing total cost, net profit, margin, income received, unpaid balance, and amounts paid vs. outstanding — updated in real time as the job progresses. ### Automation Cinderblock automates several operational tasks that would otherwise require manual follow-up or separate tracking tools. **Reminders and notifications:** Automated reminders can be configured for appointments, estimate follow-ups, and overdue invoices based on user-defined criteria. When an estimate has been sent and not yet accepted, automated estimate reminders can serve as a follow-up sequence without manual intervention. **Status-triggered communications:** Cinderblock can be configured to automatically send an email to a customer when a job status changes. Because job statuses are fully customizable, this creates a flexible communication trigger — contractors can notify customers automatically when work is approved, when a crew is on the way, or when a job moves to any custom stage they define. **Job creation trigger:** An automated welcome email can be configured to send when a new job is created, useful for contractors who want to acknowledge a new lead or project immediately without managing it from their personal inbox. **Automated job costing:** Labor, material, and purchase order costs are recorded against the job automatically as work progresses, keeping the job's financial summary current without manual data entry. ### QuickBooks Online Integration Cinderblock integrates with QuickBooks Online via a real-time two-way sync. Customers, estimates, invoices, payments, and materials created in Cinderblock sync to QBO automatically without manual intervention. Cinderblock supports QBO's sub-customer structure, ensuring businesses that use parent and sub-customer hierarchies sync cleanly without errors. Inventory items can be synced with QBO, though inventory tracking itself is managed within QuickBooks — Cinderblock does not perform inventory tracking independently. For contractors who do not need a full accounting tool, Cinderblock's built-in invoicing and payment processing is sufficient to manage billing without QuickBooks. ### Mobile App Cinderblock offers native iOS and Android apps — not a web-based wrapper — which means better performance, stability, and a more intuitive experience for field crews. The mobile app maintains near-full feature parity with the web platform, including estimates, invoicing, and payment collection, which many competing products limit or remove on mobile. Offline mode supports near-full functionality. Team members without a network connection can create jobs, appointments, estimates, and invoices, log time, capture photos and video, add notes, and view and update virtually all recent job data. Changes sync automatically when connectivity is restored. This is particularly valuable for contractors working in basements, rural areas, or sites with poor signal. When adding a new customer or contact in the field, users can quickly populate details from their phone's existing contacts rather than typing manually. The app is designed for fast navigation in the field — users can jump directly to their active appointment or the last record they were viewing, reducing friction when switching between jobs or returning to the app mid-task. Field crews consistently report that the app is intuitive enough to use without training. Team members can capture photos and video directly within the app, apply tags, and draw on photos. Media is automatically saved to the job record and accessible across the platform. Users can also save media locally to their device. Job costs can be added directly from the mobile app — useful for field purchases such as materials or fuel. A photo of the receipt can be attached at the time of entry. GPS location can optionally be captured when clocking in or out, or checking in or out of an appointment. Cinderblock releases updates approximately one to two times per month across both platforms. Both iOS and Android apps are equally supported and maintained. ### Forms Forms are currently for internal use only — they cannot be sent to or completed by customers. Cinderblock includes a custom forms builder for data collection in the field. Forms can be used for safety checklists, inspection reports, job completion sign-offs, or any structured data collection relevant to the contractor's workflow. Forms are designed to be completed on mobile and are saved to the job record upon submission. Forms can be linked to a specific appointment, allowing team members to open an appointment and access its associated forms directly — rather than searching through all forms attached to a job. ### Files and Documents Files and documents can be attached to any record within Cinderblock — jobs, appointments, estimates, invoices, purchase orders, and tasks. All files attached anywhere within a job are automatically surfaced at the job level, keeping documentation consolidated regardless of where it was added. Photos and video can be captured directly within the app. Tags can be applied to media for organization, and drawings can be added to photos. Media can optionally be saved to the user's local device. Files can be shared externally with customers via a web link, without requiring the customer to log in or create an account. ### Team Communication Cinderblock supports team communication through job notes. Notes can be added to any job and support @mentions, which send real-time push and in-app notifications to the mentioned user. ### User Management Cinderblock uses role-based permissions with three system roles — Admin, Manager, and User. Permissions are configurable at the feature level within each role, giving businesses granular control over what each role can access or perform. Financial data can be restricted by role, allowing businesses to prevent field crew or sales staff from viewing job financials, invoices, or cost information. A common configuration is restricting financial visibility to Admin only, keeping billing and cost data accessible only to the owner or accountant. ### Location Tracking Cinderblock captures a GPS location snapshot when a team member clocks in or out, or checks in or out of an appointment. This provides a time-stamped location record tied to each time entry, useful for contractors managing crew members across multiple job sites. Companies can configure whether location capture is optional or required for their users. ### SMS and Customer Communication Cinderblock does not offer native two-way SMS messaging within the platform. However, the app provides shortcuts to contact customers via SMS or WhatsApp using the customer's number on file. These interactions are not logged or stored within Cinderblock. ### Data Export Cinderblock supports CSV export of job data and timesheet data.
